The Daily Social: How to Use Saved Replies to Answer Customer DMs Faster

If you run a small business in Vero Beach, your Instagram and Facebook inbox is probably full of the same five questions on repeat. Are you open today? How much is it? Do you take walk-ins? Where are you located? Can I book online? Every one of those messages is a potential customer, and studies from Meta consistently show that people expect a reply within an hour. Typing the same answer over and over is a fast way to fall behind or start ignoring your inbox altogether. Saved replies fix that. Here is how to set them up so you respond in seconds and still sound like a real person.
1. Write Down the Questions You Answer Every Week
Before you touch any settings, scroll back through your last thirty days of DMs and comments and list every question that came up more than twice. Most businesses land on eight to twelve. Hours, pricing, location and parking, booking, delivery or shipping, gift cards, and whether you can accommodate a specific request are the usual suspects. This list is your saved reply library. If a question is not on it, you do not need a template for it yet.
2. Set Up Saved Replies in Instagram and Meta Business Suite
On Instagram, go to Settings, then Business tools and controls, then Saved replies. Each reply gets a short shortcut word like 'hours' or 'price' and a full message. When you type the shortcut in a DM, the full reply appears with one tap. In Meta Business Suite, the Inbox has the same feature under Saved replies and it works for both Facebook and Instagram from one place. Set them up on a desktop where typing is easier, then use them from your phone.
3. Write Replies That Sound Like You, Not a Bot
The biggest mistake is copying a corporate sounding template. Write each reply the way you would actually say it to a customer standing at your counter. Use the customer's first name where the platform allows it, keep it to three or four sentences, and end with a next step like a booking link or a question. 'Hey! We are open 9 to 6 today and there is free parking behind the building. Want me to hold anything for you?' beats 'Thank you for your inquiry' every single time.
4. Add a Personal Line Before You Hit Send
A saved reply should be the starting point, not the whole message. Take five seconds to add one sentence that shows you read their message. If someone asks about pricing for a birthday party, mention the birthday. If they asked about a specific product in a Reel, reference the Reel. That single personal line is the difference between a customer feeling handled and a customer feeling helped, and it costs you almost no time.
5. Turn On Instant Replies and FAQs for After Hours
Saved replies still need you to be there. For nights and weekends, turn on Instant Reply in Meta Business Suite so anyone who messages gets an immediate note that says when you will respond. On Instagram, the Frequently Asked Questions feature lets you add up to four tappable questions that appear when someone opens a new chat with you, each with an automatic answer. Together these two settings make sure nobody sits on read while you are closed.
6. Review and Refresh Your Replies Every Month
Prices change, hours shift for the season, and new questions show up when you launch something. Put a fifteen minute reminder on your calendar once a month to reread every saved reply and update anything stale. While you are in there, check which shortcuts you actually use. If one has not been touched in sixty days, delete it and replace it with a question that is coming up now.
Fast, friendly replies are one of the cheapest ways a local business can win customers who are already interested. Saved replies let you do that without living in your inbox.
